NEW INSURANCE PROCESS

As VP of PNWR, one of my responsibilities is handling the insurance program for the club. As most of you know, PCA National provides liability insurance for all of our events that include moving cars.

This year PCA National has a new insurance carrier and with that come some new insurance requirements and processes that we need to follow. If we don't follow these, we risk the loss of insurance coverage and cancellation of our events.

This year moving car events are driver's education, driver's skills, autocross, tours and technical sessions where cars will be on a hoist. As the insurance chair, I apply for and receive the coverage forms from PCA National. Each event chair should have a paper copy of this coverage form with them at the event. They are provided to me as an electronic PDF file, which I will forward to each event chair. This needs to be printed (in color!) and carried with them at the event. For those events that need a copy forwarded to the property owner, I will continue to do so.

Anyone attending an event that is covered by this insurance MUST sign the waiver. This applies to those that are participating as well as those just viewing. This waiver is available via a link on our website, or from the PCA National website, as a PDF document. Each event chair is responsible for providing copies of the waiver at their event. It must be printed in color, as the insurance company wants the red wording to be printed in red.

Once the event has finished, all waivers must be returned to me. I keep all the waivers in the same notebook that I keep copies of all insurance correspondence. These waivers must be kept for at least 4 years and one month, so it is very important that they be returned to me. Those events that fail to do so will not get insurance for future events, which will mean the event will have to be cancelled.

New this year is a new process for minor children, those under 18. There are 2 different waiver forms that must be used, depending on the activity. Again, these forms are available on the club website, or the PCA National website, as PDF documents. These must be printed in color.

If the minor child is attending any event but not riding in or driving a car (this does apply to Tours ), the Minor Observer's waiver must be filled out. This form requires that ONE parent sign and date this form, regardless of marital status or custody agreements.

If the minor child is attending any event and is riding in or driving a car, the Minors in Restricted Areas, Driving or Riding waiver must be filled out. The PCA General Counsel interprets this to mean any minor child riding in a car but not in a tour, which for our region means either autocross or driver's skills events. This form requires that BOTH parents sign and date this form, regardless of marital status or custody agreements.

The preceding two Minor Waivers need only be filled out once per calendar year. Please plan on filling it out prior to the first event you plan to attend, bring it to that event and hand it to the event organizer (the person handling the waivers for all attendees) who will include it with all the other signed waivers for that event and will return them all to me. Once this is completed with all required signatures and returned to me, I'll keep the waiver in my notebook. A report of all completed waivers will be made available to each event chair just prior to each event so that a minor child can be admitted to the event.

If the minor child is actively participating in the event, an additional form must be completed, the Minor's Assumption of Risk Acknowledgment. This must be completed at each event attended, and must be witnessed by a non-family member. Again, bring this completed waiver to the event, hand it to the event organizer. The event organizers should include this waiver with all the other signed event waivers and be returned to me. Any of these forms that are collected at an event must be forwarded back to me for inclusion in the notebook of completed forms.

Thank you, in advance, for completing all the required forms. I realize this is a change from the previous process and may take some getting used to, but please help me comply with PCA National's requirements.
